Who we are
This website, potadot.com.my, is operated by Potadot Web & System Solutions PLT (registration no. 202204000418 (LLP0030687-LGN)), a software house in Butterworth, Penang, Malaysia. In this policy, "Potadot", "we" and "us" mean that company. We are the data user (controller) for the personal data described below.
What we collect
Information you give us
When you contact us through the enquiry form, WhatsApp, email or phone, or when we meet, we receive what you choose to share: typically your name, company name, phone number, email address and a description of your business and what you need.
The enquiry form on this website prepares a message in your browser and opens WhatsApp or your email app. Nothing is sent to us until you send it yourself.
Information collected automatically
Like most websites, our hosting server records basic technical information for each visit: your IP address, browser type, the pages requested and the time. We use it to keep the site running and secure.
We use two analytics tools to understand how visitors find and use this website, so we can improve it: Google Analytics and Microsoft Clarity. They set cookies and record things like the pages you view, how long you stay, the device and browser you use, your approximate location, and where you came from. Clarity also records clicks, scrolling and mouse movement so we can see where pages are confusing. We do not use them to identify you, and we do not use advertising cookies. See how Google uses this data and Microsoft's privacy statement. You can block these cookies in your browser settings, or install the Google Analytics opt-out add-on.
The site also uses your browser's session storage to remember that the opening animation has played and which page you came from, so that page transitions look right. This is cleared when you close the browser tab and is never sent to us.
Fonts are loaded from Google Fonts, so Google receives your IP address when a page loads; see Google's privacy policy. The map on the contact page loads its map tiles from OpenFreeMap (map data from OpenStreetMap), so OpenFreeMap's servers receive your IP address when you open that page; see openfreemap.org.

Who we share it with
- The hosting and email providers that store our data.
- WhatsApp (Meta), if you choose to contact us there, under its own terms.
- Google and Microsoft, which provide the analytics tools described above.
- Professional advisers such as accountants or lawyers, when necessary.
- Government bodies or courts, where the law requires it.
We never sell your personal data, and we do not share it with anyone for their marketing. Some providers may store data outside Malaysia; where that happens, we choose providers with appropriate safeguards.
Data in the systems we build
When we build an ERP system, platform, app or website for you, that system may hold personal data about your staff and customers. For that data, you are the data user and we act on your instructions as a data processor, under the terms of our project agreement. We access it only to build, support and maintain your system, and we keep it confidential.
How long we keep it
We keep enquiry details for as long as we are in contact with you about a possible project, and for up to 2 years after our last contact if nothing goes ahead. Project and client records are kept for the duration of our work together and for 7 years afterwards, as required for accounting and tax records in Malaysia. Server logs are kept for a short period and then deleted.
Your rights
Under the Personal Data Protection Act 2010 you can:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is inaccurate or out of date;
- withdraw your consent to our use of your data;
- ask us to limit how we use it.

How we protect it
Our systems are hosted on secure cloud infrastructure, with access limited to the people who need it. Connections to this website are encrypted (HTTPS). No system is perfectly secure, but we take reasonable steps to protect your data from loss, misuse and unauthorised access.
Children
Our services are for businesses. We do not knowingly collect personal data from anyone under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be noted on this page.
