About Potadot

What does Potadot do?

Potadot is a software development company in Butterworth, Penang, founded in 2022 and focused on web and system solutions. We build custom business and ERP systems, online platforms, mobile apps for Android and iOS, and corporate websites for SMEs across Malaysia.

Where is Potadot based, and do you work outside Penang?

We are based in Butterworth, Penang, and most of our clients are in Kuala Lumpur, Selangor, Johor Bahru and Melaka. We follow the same process for every client, wherever they are. See areas we serve.

Who runs Potadot?

Potadot is led by Ricky Woon, Managing Director and Software Solution Architect. Ricky comes from a software development background and oversees the technical execution and system architecture of every project. Read more on the about page.

Which industries do you work with?

Manufacturing and industrial companies, trading and distribution, service and professional businesses, fitness and wellness, retail and e-commerce, and founders building new platforms. Our past projects include a waste management ERP, a travel agency ERP and a gym member app. See who we serve.

Services & fit

Do you sell ready-made software?

No. Everything we build is custom, designed around your business SOP and workflow. We do not resell off-the-shelf systems or templates.

What is a custom ERP system, and does my SME need one?

A custom ERP system is one piece of software that connects the departments of your business, such as sales, purchasing, inventory, production and accounting, and is built around how your company already works. You probably need one when the same information is typed into several spreadsheets, stock or order numbers disagree, or reports take days to put together. Our custom ERP guide explains it in more detail.

Can you replace our Excel sheets and paper forms?

Yes, this is most of what we do. For Alam Aliran Kualiti we replaced spreadsheets and handwritten process records with one system for receiving, processing, orders and inventory. For Ezi2Travel we replaced colour-coded spreadsheets with one dashboard. See our work.

Do you build mobile apps for Android and iOS?

Yes. We build apps for Android and iOS using React Native, as well as progressive web apps (PWA), with real-time notifications and secure payment gateways. Apps usually come with a web admin system so your team can manage the data behind them.

Can you design or redesign our company website?

Yes. We design corporate and e-commerce websites with content creation, responsive design and search engine optimisation (SEO), for businesses from industrial suppliers to law firms and property developers.

What technology do you use?

We choose the stack per project. Typical choices are Laravel, React and Next.js for web systems, WordPress for content websites, React Native and PWA for mobile, MySQL for databases, and AWS, DigitalOcean or cPanel hosting.

Cost & timeline

How much does a custom system cost in Malaysia?

It depends on the number of modules, users and roles, the integrations you need (such as payment gateways or accounting software), and whether you need a mobile app. Because every system is custom, we give a fixed scope and quotation after the requirement gathering and planning steps, not a one-size-fits-all package. The ERP guide lists what drives cost.

How long does it take to build a system?

A focused system with a few modules takes much less time than a full ERP with many departments. We agree a timeline during analysis and planning, and you can see progress on a live preview while it is built.

Can we start small and add modules later?

Yes, and we often recommend it. Starting with the module that causes the most pain, such as inventory or quotations, gets your team using the system sooner. Our systems are built to scale, so new modules plug into the same data.

Process & working together

What is your process?

Seven steps: business requirement gathering, analysis and planning, system design (UI/UX), development, testing, training and launch, then support and maintenance. See our process.

How do we work together if we are not in Penang?

The same way as with clients next door. We meet online or at your premises, you follow progress on a private preview link, and support is a WhatsApp message away.

Will our staff need training?

We design screens your staff can use without a training manual, and we still train your users at launch. We launch with you rather than handing over files and leaving.

How much of our time does a project need?

Most of it is at the start, when we sit with the people who do the work today, and at testing, when your team checks real cases before go-live. In between we share progress for feedback.

After launch

Do you provide support after launch?

Yes. Support and maintenance is the last step of every project. We value long-term collaboration over short-term delivery, and stay on to keep the system healthy and improving.

Where will our system be hosted?

On cloud servers such as AWS or DigitalOcean, or cPanel hosting for simpler websites. We set up and deploy the system, and recommend the hosting that fits your size and budget.
